Job Description



We are looking for a highly organized, proactive, and reliable Founder’s Office Associate to work directly with the Founder & CEO. This role serves as the operational backbone of the founder’s day-to-day activities, ensuring coordination, communication, follow-ups, documentation, and client interactions are executed efficiently. You will help manage execution across clients, meetings, proposals, invoices, internal coordination, and ongoing business initiatives, enabling the founder to focus on growth, sales, and product strategy. This is a high-trust, high-ownership position where your ability to drive execution and maintain accountability will have a direct impact on business success.

Key Responsibilities



  • Track priorities, action items, and ongoing initiatives across the business, ensuring visibility and accountability.

  • Proactively follow up on pending tasks, commitments, and deliverables across teams and stakeholders.

  • Maintain visibility across projects and surface critical items requiring the founder’s attention.

  • Continuously improve how work is organized, tracked, and executed across the company.

  • Share project updates with clients in a clear, professional, and timely manner.

  • Follow up with clients on pending requirements, approvals, decisions, quotations, contracts, invoices, and payments.

  • Coordinate meetings and schedules across multiple time zones while ensuring smooth communication.

  • Maintain accurate and organized client communication records and documentation.

  • Route client requests to the appropriate team members and ensure proper resolution and follow-through.

  • Attend client and internal meetings as required and represent the company professionally.

  • Take detailed, structured meeting notes and maintain organized records of discussions and decisions.

  • Create, assign, and track action items to completion, ensuring accountability across stakeholders.

  • Generate proposals using existing templates and AI-assisted workflows while maintaining quality standards.

  • Review, verify, and validate all proposals before they are shared with clients.

  • Create and send invoices through the company portal and maintain accurate sales and proposal tracking records.

  • Coordinate with project owners and the Technical Product Manager to gather project status and delivery updates.

  • Coordinate with HR regarding hiring progress, interview scheduling, and recruitment activities.

  • Coordinate with content and marketing teams whenever founder input, approvals, or decisions are required.

  • Track key deliverables, milestones, and deadlines while ensuring information flows efficiently across teams.

Skill & Experience



  • Minimum 5 years of experience in Founder’s Office, Operations, Executive Assistance, Account Management, Project Coordination, or a similar role.

  • Excellent written and verbal English communication skills with the ability to interact confidently with clients and stakeholders.

  • Strong organizational, follow-up, time management, and attention-to-detail capabilities.

  • Ability to manage multiple priorities simultaneously while working independently with minimal supervision.

  • Professional, dependable, proactive, and highly accountable with a strong ownership mindset.

  • Comfortable communicating directly with clients, senior stakeholders, and cross-functional teams.

  • Experience working within startups, agencies, SaaS companies, or fast-paced remote environments is preferred.

  • Hands-on experience with project management and collaboration tools such as Trello, Linear, ClickUp, Asana, or similar platforms.

  • Familiarity with Upwork, remote teams, and distributed work environments is preferred.

  • Experience using AI tools such as ChatGPT, Claude, Gemini, or similar platforms, with the ability to review, refine, and validate AI-generated content.

  • Strong problem-solving skills, sound judgment, and the ability to drive execution without constant direction.
